Policy and compliance software for Australian aged care: how to choose
On this page
There is no single best system. The right one depends on your size, whether you deliver residential care, home care or both, and what you need to prove at audit. Start from what the Aged Care Quality and Safety Commission assesses, list what you need to show an assessor, and pick the system that produces that evidence for a provider your size.
Below are the criteria, a comparison of seven vendors drawn only from their own websites, and who each one suits.
What should we look for in aged care compliance software?
The strengthened Aged Care Quality Standards are part of the Aged Care Act 2024 and applied from 1 November 2025 (Commission, Strengthened Quality Standards). Most of what a policy and compliance system does maps to Standard 2, The Organisation. Use these outcomes as your checklist.
1. Current policies that staff have actually read
Action 2.3.7 says the provider "maintains and implements policies and procedures that are current, regularly reviewed, informed by contemporary, evidence-based practice, and are understood and accessible by aged care workers and relevant parties" (Commission, Outcome 2.3).
Ask each vendor:
- Who writes and updates the policy content: you, the vendor, or both?
- Can it show review dates and flag anything overdue?
- Can it show, per staff member, which version of each policy they acknowledged and when?
The last one is the question an assessor is most likely to ask you to prove, so ask to see that report in the demo.
2. A quality system you can review and report on
Action 2.3.2 requires a quality system, and Action 2.3.4 says the provider "regularly reviews and improves the effectiveness of the quality system" (Commission, Outcome 2.3). Look for self-assessment against the outcomes, a continuous improvement plan and reporting your governing body can read.
3. Risk and incident registers
Outcome 2.4 requires a risk management system to "identify, assess, document, manage and regularly review risks" (Commission, Outcome 2.4). Outcome 2.5 requires an incident management system "to record, investigate, respond to and manage incidents and near misses" (Commission, Outcome 2.5). If you already record incidents in your care management system, check whether the compliance tool needs to hold them too, or only link to them.
4. Training records
Outcome 2.9 says the provider "must provide aged care workers with training and supervision to enable them to effectively perform their roles" (Commission, Outcome 2.9). Some compliance systems include training. Others leave it to a separate learning system.
5. Where your data is held
Outcome 2.7 requires that individuals' information "is kept confidential" (Commission, Outcome 2.7). Ask where the data is hosted and get the answer in writing. In the table below, hosting is only shown where the vendor states it on its own site.
How do the main aged care compliance systems compare?
Every cell comes from the vendor's own public page, checked on 29 Oct 2026. "Not stated" means we couldn't find it on the pages linked, and it may still be true, so ask the vendor. The order is alphabetical, with OriComply last because it's ours.

Published prices
Of the seven, Statura Care publishes prices. Residential plans run from "A$9 / month" per bed (Compliance Essentials) to "A$24 / month" per bed (Enterprise), and home care plans from "A$12 / month" to "A$24 / month" per active client, in "AUD excluding GST" (Statura pricing, checked 29 Oct 2026). Ageing Australia says "Members can access free resources with the Ageing Australia® Compliance Hub Lite" (Ageing Australia, checked 29 Oct 2026). The others, OriComply included, don't publish prices on their sites.
Which system suits which provider?
Treat this as a starting shortlist, then test each one against the five criteria above.
- You want policy content written and kept up to date for you. Ideagen Policy Logic's aged care page describes a policy suite updated for legal changes, says it monitors "over 250 laws, regulations, guidelines and codes", and links policies to staff training (Ideagen, checked 29 Oct 2026). Ageing Australia's QMS includes aged care policies and procedures and tracks which staff have read them (Ageing Australia, checked 29 Oct 2026).
- You want one system for care, rostering, payroll and compliance. Statura Care lists all of these as modules for residential, home care and Support at Home providers (Statura, checked 29 Oct 2026).
- You're a medium or large home and community care provider. FlowLogic describes itself as built for you, and says it doesn't currently support residential facilities (FlowLogic, checked 29 Oct 2026).
- You run more than one kind of regulated service, for example aged care and NDIS. Complynce has separate workspaces for RTOs, aged care, child care and NDIS (Complynce, checked 29 Oct 2026).
- You're a large organisation that wants enterprise risk and compliance in one place. AssurePlus says it is "built for large, regulated enterprises" and supports "a single aged care facility or an entire network" (AssurePlus, checked 29 Oct 2026). Ageing Australia's Compliance Hub lists enterprise risk heatmaps and multi-site reporting.
- You're a family-run provider who already has policies and needs to show they're mapped and acknowledged. That's who OriComply is built for. It maps each published policy to the standards and outcomes it covers, filtered to your service profile. It exports a CSV of every staff member against every assigned policy, with the version signed and the date. Staff can ask questions and get answers from your own policies with citations (oricomply.ai).
Where is OriComply the wrong fit?
- You need a clinical or care management record. OriComply isn't a clinical care record. Keep your care system for care plans, progress notes and medication. OriComply's Handover module (shift handover dictated into ISBAR) and Residents module (resident profiles opened from a QR code) work alongside it.
- You need rostering, payroll or billing. OriComply doesn't build rosters or run payroll or billing. Its Roster check reads the roster you already keep in Deputy and shows which shifts are short.
- You're a large group with enterprise risk and procurement needs. OriComply is built for family-run providers (oricomply.ai). If you need enterprise risk management across many sites, look at the systems above that describe themselves that way.
- You want a published price before you talk to anyone. OriComply doesn't publish prices, so you'd need to book a demo.
FAQ
Do we need separate policy software if our care management system has a documents module?
It depends on what the documents module can show. Action 2.3.7 asks for policies that are current, regularly reviewed and understood by workers (Commission, Outcome 2.3). If your current system can show review dates and which staff acknowledged which version, you may not need another tool.
Should we buy policy content or write our own?
Either can meet Action 2.3.7. Bought content is written for you. Your own policies describe how your service actually runs. Either way, each policy has to be current and mapped to the strengthened standards, and someone in your organisation still owns its review.
Which vendors state that data is hosted in Australia?
On their own pages, checked 29 Oct 2026: FlowLogic ("All data is stored within Australia"), Statura Care ("Core hosting: Sydney") and OriComply (Sydney). The others didn't state it on the pages we checked, so ask them directly.
What should we ask for in a demo?
Ask the vendor to show, live, the report you'd hand an assessor: every staff member against every assigned policy, with the version and the date. Then ask how policies are mapped to the strengthened standards, what you can export if you leave, and where your data is hosted.
Can we run a new system alongside our current one?
Ask each vendor. OriComply migrates your full policy suite before go-live and runs in parallel with your current system until you've signed off (oricomply.ai). For the steps, see our guide to switching aged care policy systems.
